The Front Office is the face of the hotel and the first point of contact for guests. It plays a major role in creating a good impression and ensuring smooth operations throughout a guest's stay. The department handles reservations, check-ins, check-outs, guest queries, and overall guest satisfaction.

  • Key Functions of the Front Office
  1. Reservation:- The Reservation Department is an important part of the Front Office in a hotel. Its main job is to book rooms in advance for guests so the hotel can plan properly and provide a comfortable stay. A reservation means that a guest requests the hotel to keep a room ready for them on a specific date, for a specific number of days, and at a specific price. This helps both the hotel and the guest avoid any problems at the time of arrival.
  2. Reception / Registration:- Reception is the area where guests are welcomed when they arrive at the hotel. Registration is the process of recording guest details during check-in. The reception staff greets guests, checks their booking, collects ID proof, assigns rooms, gives room keys, and provides information about hotel services. This ensures a smooth and comfortable check-in experience.
  3. Cashiering:- Cashiering is the section of the Front Office that handles all guest payments and billing. It prepares bills, collects payments, maintains guest accounts, and ensures accurate recording of all charges during a guest’s stay.
  4. Communication / Telephone:- Communication / Telephone in the Front Office refers to the department responsible for handling all incoming and outgoing calls and messagesfor the hotel and its guests. It manages guest inquiries, transfers calls, takes messages, provides information, and ensures smooth communication between guests and hotel departments.
  5. Guest Services:- Guest Services refers to all the help and assistance provided to guests during their stay to make it comfortable and pleasant. It is a key part of the Front Office department.
